“Not showing up” has several different meanings
File Explorer is only the last layer of detection. A drive can be absent there but still appear in Device Manager or Disk Management. It can also appear with the wrong capacity, no drive letter, a damaged file system, or a connection that drops every few seconds.
Missing only from File Explorer
The drive may be detected but lack a usable drive letter or mountable file system.
Visible as RAW or Unallocated
Windows cannot see the expected file system or partition. Do not format it when files are needed.
Missing from Disk Management
Connection, enclosure, power, USB controller or drive hardware may be involved.
Appears and disappears
Instability matters. Repeated scans or copies can be unsafe when a drive is deteriorating.
Record exactly where the drive appears, its reported capacity and any status text. That information is far more useful than saying only that the icon is missing.
The first rule when the files matter
Do not agree to a format prompt until you have decided that the existing files are disposable or safely copied elsewhere. Formatting creates a new file-system structure. Initialising a disk writes disk metadata. Creating a new volume and installing “repair” utilities can also write to the affected storage.
A prompt saying “You need to format the disk before you can use it” does not prove the drive is empty. It means Windows cannot currently mount a recognised file system. The cause could be corruption, failed sectors, an unsafe disconnection, enclosure trouble or another storage fault.
If this external drive is itself your backup, check whether the original files still exist on the computer, cloud account, phone, another disk or email. Do not overwrite the only remaining copy while trying to make the drive usable again.
Safe connection checks that do not alter the data
- Disconnect the drive normally if Windows still responds, then shut down if it will not eject.
- Inspect the USB and power connectors for obvious damage. Do not force a loose port.
- Try one known-good compatible cable and a direct port on the computer rather than an unpowered hub.
- For a desktop external drive with its own adapter, confirm the correct original-specification power supply and try a known-good wall socket.
- Try another computer once, provided the drive is quiet and stable.
- Listen for repeated spin-up, clicking, beeping or disconnection sounds.

Why accepting the format prompt is the wrong first step
Formatting is appropriate for a genuinely blank drive or after required files have been recovered and the hardware has been judged suitable for reuse. It is not a diagnosis. A completed format may make the drive appear usable while hiding the original cause, and it changes information recovery tools may need.
Do not run CHKDSK automatically on a RAW or unstable drive with unique data. File-system repair is intended to change structures so that Windows can use them. Recovery work has a different priority: preserve the source, obtain the best possible copy where appropriate, and recover files from that copy rather than repeatedly modifying the original.
Likewise, do not save recovered files back to the same affected drive. Recovery output needs a separate healthy storage device.
When noise, impact or instability changes the decision
Disconnect the drive and avoid further power attempts if it has developed loud repeated clicking, grinding, beeping with failed spin-up, a burning smell, severe heat, or instability after a drop or liquid exposure. Software cannot repair mechanical damage.
An external enclosure can fail while the drive inside remains recoverable, but opening an enclosure is not always a harmless DIY step. Some models use integrated USB electronics, hardware encryption, unusual connectors or construction that can be damaged during disassembly. Warranty and evidence-handling requirements may also matter for business data.
Tell the repairer whether the drive was dropped, whether it is the only copy, whether it is encrypted, and what actions have already been attempted. That history affects the safest route.
